Set up is available from 5:30 - 7pm on Monday 16th June. Please do not arrive before the specified time as you will not gain access to the room.

Please enter the venue through Gate B and unload into the Ludlow Suite via Car Park 4. You will be directed by the gate steward on arrival.

Meet and greet drinks will be held in the foyer area between 7-8pm - this is a great informal networking opportunity.

Alternatively, you can set up from 8am on Tuesday 17th June, before registration.

Each exhibition space is 3m length by 2m depth. This isn’t shell scheme but will be marked out on the carpet.

All exhibitors will be provided with a 6″ trestle table with linen table cloth and 2 chairs.

Food and drinks are provided in the exhibition area at registration, mid-morning, lunch, and mid-afternoon breaks.

One power socket is included - if you need additional power, please order this via the Exhibitor Hub.

All electrical equipment you bring on site must be PAT tested - see documents section below.

If you need to hire any AV equipment please register on the Exhibitor Hub and order through the venue's in-house AV team.

Please note that security has not been provided for this event and items of value should not be left unattended at any time.

Deliveries for the event will only be accepted on Monday 16th June between 9am - 5pm

All deliveries should use the delivery label template to ensure they arrive at the correct location.

The venue has a pump truck and trolleys onsite, if required. If you need a forklift truck for any heavy/bulky items, please book this on the Exhibitor Hub. The cost is £100 per half hour.

Please submit the following documents, along with your set-up info, by 30th May 

1. Public Liability Insurance 
2. Risk assessment for your stand, plus a method statement if the stand is to be built onsite (not applicable for pop-ups)
3. All electrical equipment should be PAT tested, details of which should be included in your risk assessment. The venue may carry out spot checks.

Take down will be from 2pm (after lunch) on Wednesday 18th June.

All items must be collected by 7pm on Wednesday 18th June.

Any items that are left for courier collection must be fully packaged and labelled by the exhibitors. These can be left in the hall for collection.

Exhibitors are responsible for the packing of all return items. These should be indicated to the duty manager or an Aqua Enviro staff member before your departure.

Please note that any items left in the exhibition room without correct labelling will be disposed.

Exhibitors must ensure that they clear and remove all rubbish, refuse and other materials not belonging to the venue from the premises.  Any excess waste removal will be charged following the event.
